Paper Box Artwork Specifications: A Pre-Print Guide

Prepare paper box artwork with the right resolution, bleed, colour, fonts and file settings to reduce avoidable press-stage amendments.

A print-ready paper box artwork file must do more than look correct on screen. It needs suitable image resolution, a dieline with clear cut and fold information, adequate bleed, safe text placement, CMYK colour settings, embedded or outlined fonts, and a press-compatible PDF or native file where requested.

The printer’s artwork guide and dieline always take priority, because tolerances, board choices, finishes and production methods vary. Before approving files for custom printed boxes, check every technical point below against the specification supplied for your particular job.

DPI Requirements for High-Quality Printing

For conventional printed packaging, place photographic and raster images at an effective resolution of 300 dpi at final printed size. “Effective” matters: an image may be 300 dpi in its original file but become lower resolution when enlarged in the artwork.

For example, a 50 mm-wide image enlarged to 100 mm wide has effectively lost half of its resolution. It may appear acceptable on a monitor but print with softened detail, visible pixel edges or uneven gradients.

Use the right resolution for each element

Do not increase the resolution figure in image software and assume this creates detail. Upsampling can increase the number of pixels, but it cannot reliably reconstruct information absent from the original image. Obtain the highest-quality source image instead.

Avoid using screenshots, social-media downloads, compressed messaging-app images and images copied from websites in packaging artwork. These are often made for screen use, not print.

Understanding Bleed, Trim, and Safety Zones

A paper box is cut, creased and folded after printing. Small production tolerances are normal, so artwork needs defined areas to ensure backgrounds and key details remain where intended.

  • Trim line: the final cut edge of the printed sheet or panel.
  • Bleed: artwork extending beyond the trim line so colour or imagery reaches the finished edge.
  • Safety zone: an inset area inside the trim where important text, barcodes, logos and details should sit.
  • Dieline: the production template showing cuts, creases, folds, glue areas and, where relevant, perforations.

A commonly requested bleed allowance is 3 mm, but this is not universal. Confirm the exact bleed and safety-zone dimensions on the printer’s dieline rather than applying a default from a previous job.

Apply bleed correctly

Any background colour, photograph, pattern, varnish area or image meant to run to an edge should extend through the bleed area. Do not simply add a white border around the design, as even slight movement at trimming can reveal it.

Keep vital content away from:

  • Cut lines and corners
  • Crease and fold lines
  • Glue flaps and sealing panels
  • Openings, locks and tuck tabs
  • Areas likely to be obscured after assembly
  • Barcode quiet zones
  • The inner edges of narrow side panels

Treat the dieline as production information

Usually, dielines should sit on a separate non-printing layer and should not be flattened into the design. Follow the supplied naming convention and colour instructions. Some workflows require dielines in a named spot colour; others request that they are supplied separately or removed from the final press PDF.

Never redraw or scale a dieline unless the printer confirms that it is acceptable. Altering a cut path independently can change panel sizes, flap relationships and fit.

Before release, assemble a plain mock-up from the dieline at 100% scale where practical. This simple check helps identify upside-down panels, text crossing folds, poor front-panel hierarchy and artwork that lands on a glue area.

Colour Modes: RGB vs. CMYK in Packaging

Design software commonly displays colour in RGB, the colour model used by screens. Commercial printing generally uses CMYK process inks, so packaging artwork should normally be prepared in CMYK unless the specification calls for spot colours or another defined workflow.

RGB can show brighter greens, blues and fluorescent-looking tones that standard CMYK inks may not reproduce. Converting at the final export stage can therefore create unexpected shifts.

Plan colour before final artwork approval

Use CMYK swatches from the beginning of the design process when possible. If a brand colour needs close consistency across a box, label or gift presentation piece, ask the printer which colour system, ink process and proofing method they support for the selected substrate and finish.

Spot colours may be appropriate when a particular brand hue, metallic ink or special ink effect is required. However, they affect the separation setup and may not be interchangeable with a process-colour equivalent. Confirm:

  1. Whether the colour is to print as CMYK, a spot colour, or both.
  2. The exact swatch name and version used in the file.
  3. Whether a separate white ink, varnish, foil or coating layer is required.
  4. How uncoated, coated, textured or coloured board may alter the appearance.
  5. Whether a physical proof or production-standard proof is available for approval.

Rich black and small black text

A large solid black background may require a rich black build for better depth, but the correct values depend on the press, substrate and ink limits. Request the preferred CMYK build rather than assuming one formulation will suit every job.

For small black type, barcodes and fine rules, use a single black plate where the printer requests it. Multi-colour black text can misregister slightly, producing coloured fringes that make small type look soft.

Proper File Formats for Press Submission

A high-resolution, press-ready PDF is commonly preferred for paper box artwork because it preserves layout, vector paths and embedded assets while being easier to preflight. A printer may specify a particular PDF standard, such as PDF/X, but you should use the exact version and export preset requested for the job.

Do not assume one file format is right for all packaging projects. Request the printer’s artwork specification before export.

Keep a working version of the file separate from the final submission PDF. The working version should retain editable layers, links and notes; the press-ready version should contain only what the printer requires.

Preflight before sending

Use your design application’s preflight tools, but do not treat them as a substitute for reviewing the file yourself. Check that:

  • The document size matches the dieline dimensions.
  • Bleed is present on all relevant external edges.
  • Images are linked correctly and have sufficient effective resolution.
  • RGB objects have been converted if CMYK is required.
  • Unintended spot colours have been removed or renamed correctly.
  • Dielines and finishing layers follow the supplied instructions.
  • No hidden objects, comments or obsolete versions remain in the file.
  • The PDF opens correctly in more than one PDF viewer.

If the printer asks for an editable file, package it properly with linked images and fonts where licensing permits. A PDF alone may not be sufficient for alterations, but editable artwork should only be supplied when specifically requested.

Overprint and Knockout Settings Explained

Knockout means an object removes the ink beneath it before printing. This is usually the expected setting for text and graphics placed over a coloured background.

Overprint means one ink prints on top of another rather than knocking it out. It can be useful for some black text, trapping and specialist production effects, but it can also cause serious surprises when applied unintentionally.

For instance, a yellow object set to overprint on a blue background may appear greenish rather than yellow. A white object set to overprint may disappear altogether because white is often treated as the absence of ink.

What to inspect

Review overprint preview in your artwork software or PDF viewer. Pay particular attention to:

  • White text and white logos
  • Light-coloured objects on dark backgrounds
  • Small black text
  • Transparencies and shadow effects
  • Objects copied from old templates
  • Spot-colour finishing layers
  • Imported vector artwork from other designers

Do not automatically turn overprint off everywhere. Some production files deliberately use it. Instead, identify each overprint object and confirm its intended purpose with the printer’s artwork instructions.

Creating Vector Graphics for Scalability

Vector graphics use mathematical paths rather than a fixed grid of pixels. They can scale cleanly for different box sizes, making them the preferred format for logos, icons, line illustrations, die-cut shapes and fine decorative elements.

A vector logo remains sharp when used on a small carton panel or enlarged for coordinated gift packaging. By contrast, a bitmap logo may become visibly soft or pixelated when scaled.

Use vectors for elements that must stay precise

Create or source these assets as vector files where possible:

  • Brand marks and wordmarks
  • QR-code artwork generated from a verified source
  • Product icons and handling symbols
  • Borders, rules and decorative linework
  • Repeating patterns
  • Simple illustrations
  • Spot varnish, foil or embossing shapes

When building vector artwork, avoid unnecessarily complex paths, excessive anchor points and very thin lines that may not reproduce consistently on the chosen board. Minimum line thicknesses, type sizes and spacing can vary with the print method and finish, so confirm practical limits for the job.

Check QR codes and barcodes separately

A barcode or QR code is not simply another graphic. Its quiet zone, contrast, size, orientation and placement all affect readability. Generate the code from accurate data, retain its proportions, avoid placing it across a fold or seam, and test the final approved artwork or proof with suitable scanning devices.

If the packaging will be sold or distributed in a particular channel, verify any barcode, labelling or product-information requirements that apply to that route to market. Technical print readiness does not itself establish market compliance.

How to Check for Font Issues

Fonts can create unexpected changes if they are missing, substituted, partially embedded or incorrectly licensed for sharing. A font substitution may alter line breaks, text length, kerning and panel fit—even if the replacement looks broadly similar.

For final static packaging artwork, many printers ask for fonts to be outlined or embedded in the PDF. Follow the supplied artwork requirements.

Outline fonts with care

Outlining converts letters into vector shapes, preventing missing-font substitutions. It is useful for final logo and display-text artwork, but it also makes copy harder to edit and can increase file complexity.

Keep an editable master file with live text before outlining. Do not outline the only version of a document, particularly where pack copy may require later legal, marketing or product updates.

Font checklist

Before export, check:

  • Every font is available and correctly licensed for the intended workflow.
  • No accidental substitute fonts appear in the PDF.
  • Text is not too small for the printing method or substrate.
  • Copy does not sit too close to folds, trims or glue areas.
  • Black small text uses the requested colour setting.
  • Italics, light weights and reversed-out text remain legible.
  • Special characters, symbols, accents and fractions display correctly.
  • Text on curved paths has not distorted or collided.

Review the exported PDF, not only the source file. Zoom in for character-level problems, then view the page at a realistic physical size to assess readability.

The Importance of Proofreading Box Text

Text errors on packaging can be expensive and disruptive because the same mistake repeats across the full run. Proofreading should therefore be a defined approval stage, not a last-minute visual check by the designer alone.

Read every panel in sequence, including side panels, base panels, flaps and the inside of the box. Text that looks correct in a flat layout can become confusing once folded.

A practical box-copy proofing process

  1. Export a review PDF from the latest artwork version.
  2. Print or view it at 100% scale where possible.
  3. Build a folded paper dummy using the approved dieline.
  4. Ask a second reviewer to read the copy independently.
  5. Check source information against the approved product, marketing and operational data.
  6. Review final corrections in context, not as isolated text changes.
  7. Approve only one controlled final version for submission.

Check product names, variants, quantities, instructions, website addresses, contact details, ingredients or material statements where applicable, warnings, recycling information, barcodes and batch or date-marking space. Confirm which text is fixed in print and which information must be added later through labelling, coding or another process.

For packaging that includes custom printed stickers, check that the wording, finish and colour treatment align with the box artwork. A coordinated appearance is easier to achieve when the same approved logo files, colour references and copy version are used across every printed component.

Final Artwork Checklist Before Approval

Use this short checklist immediately before submitting paper box artwork:

  • Correct dieline version is used at 100% scale.
  • Cut, crease, glue and non-printing layers follow the printer’s instructions.
  • Required bleed has been added to all edge-to-edge design elements.
  • Important content sits inside the agreed safety zone.
  • Images meet the required effective resolution.
  • Logos, icons and fine artwork are vector where possible.
  • Colour mode, spot colours and special finishing layers are correctly set.
  • Overprint and knockout settings have been reviewed in preview.
  • Fonts are embedded or outlined as requested, with an editable master retained.
  • Barcodes and QR codes have been checked for position, contrast and readability.
  • Copy has been independently proofread on every panel.
  • Final PDF settings match the printer’s specification.
  • The approved file name and version are unambiguous.

  • You have a finished design: ask for the exact dieline and press-file requirements, then complete a technical preflight.
  • You have brand assets but no box layout: develop artwork around the supplied structural template rather than adapting a flat label design.
  • You are changing an existing pack: check that the old dieline, board choice and finishing assumptions still apply.
  • You are launching several variants: create a controlled artwork system for common panels, colour variants, barcode positions and version tracking.
  • You require a special finish: obtain layer naming, minimum-detail and file-setup requirements before creating foil, emboss, varnish or white-ink artwork.
